Integrate Zoom Webinars with Dotdigital

Manage communications with registrants, attendees, and absentees of your Zoom Webinars.

Our Zoom Webinars to Dotdigital integration lets you promote, remind, and follow up with registrants for your Zoom Webinars.

Features of the Zoom Webinars to Dotdigital integration:

  • Effortlessly track published webinars

  • Automatically create and maintain lists for your registrants, attendees, and absentees.

  • Optionally enrol contacts into programs based on registration, attendee, or absentee status.

  • Track the last webinar your contacts attended or registered for, and store this info in their contact data fields.


Before you start

Things you need to know:

  • This integration only works with Zoom Webinars.

  • You can't connect the same Zoom account to more than one Dotdigital account.

  • You only need to install the integration once to manage all of your webinars:

    • The integration creates three new lists – registrants, attendees, and absentees – in your Dotdigital account for each Webinar.

    • You can map three programs within the integration. Each program corresponds to an attendee status - registrant, attendee, or absentee - and enrols contacts of the respective status for all of your webinars. You don't need to create separate programs for each webinar.

  • This integration adds three new contact data fields to your account:

    • ZOOM_LAST_WEBINAR Tracks the name or topic of the last Zoom webinar the contact attended or registered for.

    • ZOOM_LAST_ATTENDED Tracks the UTC date of the last Zoom webinar the contact attended or registered for

    • ZOOM_LAST_JOINURL Tracks the join URL for the last Zoom webinar the contact registered for

  • If you want to enrol contacts into programs, you must create and active the programs first.

Note

Contacts marked as Guests are not imported into Dotdigital because Zoom doesn't provide email addresses for these contacts.

Data management

If you delete a webinar in Zoom, we automatically delete any related lists in Dotdigital at the next sync.

Data syncs with Zoom are hourly. Therefore, it might take up to an hour for any changes to be reflected in Dotdigital.


1. Install the Zoom Webinars app

  1. In Dotdigital, go to Connect > Integrations.

  2. In the left menu, under SHOW, select Self-serve.

  3. Find Zoom, then select ADD.

  4. Select INSTALL.

  5. Read the integration information and select NEXT.

  6. Under Zoom authentication, select New authentication.

  7. Enter a name for the authentication, then select CREATE.

  8. Sign in to your Zoom account.

  9. Read the authorisation information, to agree, select Authorize. Then select NEXT.

2. Manage your Zoom Webinar settings

  1. Expand the Zoom user drop-down menu, and select your Zoom account. Only Zoom admins can access this menu.

  2. Select NEXT.

  3. For Map additional Zoom fields, use the drop-down menus to map your Zoom registrant fields (on the left) with your Dotdigital contact fields (on the right).


    Select ADD A NEW MAPPING to create an additional field mapping.

  4. Once you have mapped all of your desired fields, select NEXT.

  5. Optionally, for Program enrolments, expand the Event drop-down menu and choose either After attending, Missed webinar, or On registration.


    Expand the Program drop-down menu and choose the program you want your event rule to apply to. To add more mapping rules, select ADD A NEW MAPPING.

    You can only select active programs. We suggest using programs with no scheduled enrolment.

  6. Select NEXT.

  7. Expand the Country drop-down menu, and select the country that you're collecting mobile numbers for.
    This is because Zoom doesn't require country codes to be collected for mobile numbers, but Dotdigital does.

  8. Select FINISH.


Uninstall the Zoom Webinars app

There are two ways you can remove the integration:

  • Uninstall the Zoom Webinars app from Dotdigital

  • Uninstall the Dotdigital app in Zoom

Data retention

Deleting the Zoom Webinars integration removes all lists associated with your webinars for the linked Zoom user.

  1. In Dotdigital, go to Connect and select the Zoom Webinars tile under Installed integrations and extensions.

  2. For Permanently delete this Integration, select Delete.

  3. On the confirmation, select DELETE.

Uninstall the Dotdigital app from Zoom

Data retention

Deleting the Zoom Webinars integration removes all lists associated with your webinars for the linked Zoom user.

  1. Log in to your Zoom Account and go to the Zoom App Marketplace.

  2. Go to Manage > Installed Apps and find the Dotdigital app.

    Alternatively, search for the Dotdigital app.

  3. Select Uninstall.

  4. On the uninstall confirmation, for Please choose your uninstall reason, choose the reason you are uninstalling the app.

  5. Select Uninstall.
