Create and synchronise marketing lists in Microsoft Dynamics

Use Microsoft Dynamics marketing lists to drive your email campaigns.

An email campaign can be associated with an existing marketing list, or you can create a new marketing list for your email campaign.


Create a marketing list

  1. In Microsoft Dynamics, go to Marketing Lists from the left side menu. By default, My Active Marketing Lists are shown.

    To find an existing marketing list, expand the My Active Marketing Lists drop-down menu or use the search field.

  2. Select New.

  3. For Email Settings, enter the marketing list name in the Name field.

  4. Switch the Activated for Email toggle to Yes. Before you can sync or use a Marketing List with an email campaign, it must be activated for email.

  5. Expand the Member Type drop-down menu and select the Marketing List Member Type. You can pick from:

    • Account

    • Contact

    • Lead

  6. Expand the Type drop-down menu, and choose the Marketing List Type, either Dynamic or Static:

    • Dynamic
      Based on a dynamic query that retrieves the information. On sync, we remove Dotdigital list members to reflect the content in the marketing list. Dynamic lists can only sync contacts from Microsoft Dynamics to Dotdigital and not the other way around.

    • Static
      These are members that are unchanging.

      This type of list is set to Manual Sync Only if it isn’t used in a campaign, to create activities, or to create opportunities, within 90 days. Static lists can sync contacts from both Dotdigital to Microsoft Dynamics and Microsoft Dynamics to Dotdigital.

  7. Select Save.


Set up your marketing list sync settings

The below instructions reference address books. This is the previous name for lists in Dotdigital.

  1. Expand the On Sync drop-down menu, select an action for the syncing process:

    • Add records to address book

      Data flows from Microsoft Dynamics to Dotdigital.

    • Remove address book members not in this list

      Data flows from Microsoft Dynamics to Dotdigital.

    • Allow only known contacts/leads to be added to this list

      Data flows from Dotdigital to Microsoft Dynamics.

    • Add all address book members to this list as contacts/leads

      Data flows from Dotdigital to Microsoft Dynamics.

  2. To remove members from your Marketing List after you send your email campaign, switch the Clear List on Send toggle to Yes. This allows you to use the same marketing list more than once. By default, it's set to No.

  3. To manually synchronise your Marketing List, switch the Manual Sync Only toggle to Yes. This excludes the Marketing List from scheduled synchronisation. By default, it is set to No.

Manual Sync Only is useful for checking how many members of your Target Marketing List have unsubscribed in Dotdigital before you send your email campaign. After you manually sync a Marketing List, select the Notes tab and open the attached file of the synchronisation summary.

Synchronise a marketing list to Dotdigital

After you create a Marketing List, you must synchronise it to Dotdigital before using it with your email campaigns. The synchronisation process creates corresponding lists in Dotdigital. Automatic synchronisation is triggered when you send an email campaign, but you can manually complete it, too.

To sync a marketing list:

  1. Go to Marketing Lists in the left side menu.

  2. Select a Marketing List name.

  3. Select Synchronise.

A dialogue box appears that tells you your Marketing Lists were added to the synchronisation queue.

Synchronisation difficulties

If you do not have the required admin privileges and then try to do a sync, a dialog box appears and says that you can’t complete the synchronisation.

Manage marketing list members

After you successfully create and sync your Marketing Lists, you can access and manage the members in the Members area. This shows you an overview of the members that are currently in your Marketing List.

To manage your Marketing List members:

  1. Go to Marketing Lists, under the heading Marketing in the left side navigation menu. By default, My Active Marketing Lists are shown.

  2. Select a Marketing List name.

  3. Expand the Manage Members drop-down menu, then choose to add, remove, or evaluate your members:

    • Add using Lookup
      Find members to add to your Marketing List.

    • Add using Advanced Find
      Find members to add to your Marketing List using search criteria.

    • Remove using Advanced Find
      Find members to remove from your Marketing List using search criteria.

    • Evaluate using Advanced Find
      Evaluate which members to keep in the Marketing List using search criteria.

  4. Under Members, select Refresh to reflect your changes.

Member count discrepancies

There are many reasons as to why the member count may differ between the Marketing List in Dynamics and the list in Dotdigital. Some of the most common reasons are outlined below.

You can have fewer contacts in a Dotdigital list than in the corresponding Marketing List if:

  • A member has the Do not bulk email option checked. That member is not synchronised to Dotdigital.

  • A member does not have a value for the email address field in Microsoft Dynamics. That member is not synchronised to Dotdigital.

  • The Dotdigital Data Watchdog rejects a contact during synchronisation.

  • A Lead does not have a status of Open. That Lead is not synchronised to Dotdigital.

    You can amend this setting to enable you to sync Leads with other statuses. Learn how in Administration settings in Microsoft Dynamics .

  • You have multiple members with the same email address in the Marketing List. Dotdigital adds only one contact per email address and the others are not synchronised to Dotdigital.

    If one member has the Do not bulk email option checked and another does not, the member who does not have the option checked is synchronised to Dotdigital.

  • The entire list has been rejected by the Dotdigital Data Watchdog.

  • Invalid data mapping is causing the list sync to fail completely.

  • A contact in Dotdigital is added to the suppression list for any reason, such as hard bouncing. That contact is removed from the Dotdigital list however the same member is not removed from the Marketing List unless you have selected the option to Update Do Not Bulk Email preference on unsubscribers.


Locate Dotdigital list unsubscribers

If you use list-level suppressions in Dotdigital, then on the Marketing List information page you can see the unsubscribed members under Related > Unsubscribers. These are members that have requested to be unsubscribed or opted-out from your Marketing List by using the Preference centre settings in Dotdigital.

This is different from a contact that selects an unsubscribe link in an email campaign, which is a global opt-out of all future marketing communications. Global unsubscribers are added to the Email Suppression List, and the Do Not Bulk Email preference is updated against the contact’s record in Microsoft Dynamics.

Manage email campaigns for a Marketing List

To see which email campaigns are used with a selected Marketing List, on the Marketing List information page, go to Related > Email Campaigns.

Locate email clicks

To see all clicks for a Marketing List, on the Marketing List information page, go to Related > Email Clicks. All clicks for the Marketing List are sorted by email campaign.


Find your Email Activated Marketing Lists

  1. Go to Marketing Lists in the left side menu.

  2. Expand the My Active Marketing Lists drop-down menu and select Email Activated Marketing Lists. All lists which have been email activated are displayed. You can also see which lists have been synchronised to Dotdigital and when they were last synchronised.

You can also see if the list is activated from the Marketing List information page, by looking at the Activated for Email toggle. If it is highlighted and set to Yes the list is activated.
