The Send Campaign Wizard allows you to send an email campaign to one or more linked email address books from within Salesforce.

Email campaigns can also be sent directly from your Dotdigital account, but this does not update the membership send status in the related Salesforce Campaign.

Use the Send Campaign Wizard

The Send Campaign Wizard is accessed from an email campaign page.

To use the wizard:

  1. Go to Email Campaigns.

  2. Select an email campaign name.

  3. Select Send Campaign Wizard.

  4. In the popover window that opens, select the checkbox for any of the target address books you want to send to, then select Next.

    • These address books are linked to the email campaign. You can use the Filter address books field to search for a particular address book.

    • Only address books that have been populated with email address details show a count of the members. Some of the address books might display a message to state that they must be synchronised before they can be selected to send to.

  5. The Target Counts section displays the maximum and potential recipients for the email campaign, including the reason for any exclusions.

    • Potential recipients is the total number of members of the Salesforce campaigns from all selected address books.

    • Maximum recipients is the number of email contacts that the email campaign can be sent to. It is the actual number of recipients after exclusions have been taken into account.

      Exclusion reasons are:

      • Targets excluded by membership filter: email addresses that are excluded by a membership filter set on the email address book.
Learn more in the section Edit an email address book’s settings.

      • Targets suppressed by 'Email Opt Out': email addresses that are excluded because this standard Salesforce field has been selected.

      • Targets without an Email Address: the number of Salesforce campaign members that are excluded because they have no valid email address recorded.

      • Suppressed Targets: the number of members that have a suppression logged against their contact record in Dotdigital, for example hard bounce. These contacts may also have the Salesforce Email Opt Out field selected.

Where there are suppressions, these are also represented in a pie chart under the Analysis of Suppression Reasons heading.

  6. Check the information, then select Next.

When more than one address book is selected, the total number of exclusions is from each individual campaign membership and not across the total membership, meaning an excluded contact who appears in two of the selected email address books is counted as two exclusions. Additional deduplication to account for such contacts is carried out immediately before the sending process starts.

  7. In the Campaign Options section, use the radio buttons to choose whether to send your campaign Immediately or Scheduled.

    • If you choose Immediately, you see a summary confirming the number of emails to be included in the send.

    • If you choose Scheduled, use the date picker and drop-down fields to select a date, time and timezone for the send.

  8. Once you’ve set the time for your send, select Next.

  9. The Check Options section displays a final summary of the email campaign details and your selected send date and time. When you’re ready, select Send.

The Synchronise Contacts check box is selected by default. This means that all selected address books are synchronised before the email campaign is sent, which may cause a delay to the send. If your email campaign is time sensitive, you might want to clear this checkbox to prevent a delay. You can instead schedule a sync ahead of your required send time. Learn more in the section Synchronisation schedule.

  10. A confirmation popover is displayed. Select Send to confirm or Cancel if you need to make any changes.

Cancel selected Email Sends

It’s possible to cancel an email send which you have scheduled and is waiting to be sent.

To do this:

  1. Go to Email Campaigns.

  2. Select the campaign name.

  3. Select the Related tab.

  4. Under Email Sends, you see the send with the status Scheduled. Select the drop-down menu to the right of the send and then select Delete.

  5. A confirmation popover is displayed. Select Delete to confirm.
