Process a request to delete a contact's data

When a contact requests that you delete their data, you can remove it from all areas of the platform.

Dotdigital stores contact data across several areas of the platform. Depending on where data exists for a contact, you may need to complete more than one of the following deletion processes to fully comply with their request.

Use these sections to find and delete a contact's data:


Delete contact data

  1. Go to Audience > Contacts.

  2. Find the contact you want to delete. Use the search field to locate them quickly.

  3. Select the check box next to the contact.

  4. Expand the MORE ACTIONS drop-down menu and select Delete from account.

  5. Select the confirmation checkboxes, then select Delete.

When you delete a contact, they move to the recycle bin for 30 days. After 30 days, their data is permanently removed.

Recycle bin

The recycle bin is only accessible to account owners and users with the Can manage account permission. To access it, expand the User menu and go to Settings > General > Recycle bin. From here, you can permanently remove selected contacts, empty the entire recycle bin, or recover deleted contacts.


Delete contact data from Surveys, pages, and forms

You must repeat for all of your forms to find out which ones your contact has responded to.

  1. Go to Analytics > Reports, expand the MORE REPORTS drop-down menu and select Pages and forms.

  2. Find a form and select the number in the Responses column.

  3. Select the Responses tab.

  4. Enter the contact's name or email address into the search box.
    If results are returned, select the Delete (cross) icon to the far right of each result. If no results are returned, move to the next form and repeat the search.

  5. Select the cross icon to the far right of any results returned for the contact.

  6. Select Yes.

  7. On the confirmation message, select Delete.

This deletes all data held in that form for the contact.


Delete contact data from Transactional email

To delete the data for a contact from transactional email:

  1. Go to Analytics > Dashboards, expand the MORE DASHBOARDS drop-down menu and select Transactional email.

  2. Select SHOW SUCCESSES ONLY.

  3. Enter the contact's email address into the search box.

  4. Select the check box or boxes next to the contact.

  5. Select Delete, then select Delete again to confirm.

Repeat these steps and select SHOW FAILURES (step 2) to delete any failed transactional email data for the contact.

This deletes all of the contact's data from transactional email.


Delete contact data from Surveys & forms (retired)

The Surveys & forms tool has been retired in favour of Surveys, pages, and forms. However, contact data may still exist in legacy survey reports. You must delete this data separately to fully comply with a contact's deletion request.

You need to repeat these steps for any of your surveys that have responses:

  1. Go to Analytics > Reports, expand the MORE REPORTS drop-down menu and select Surveys & forms.

  2. Select a survey name to open the report.

  3. On the Reporting page, select the Responses tab.

  4. Select the drop-down menu next to the search box and select Include complete and partial responses to ensure you get all data submitted.

  5. Enter the name or email address of your contact into the search box. If the search returns results, you must export the survey results. If the search returns no results, then you can move to the next survey and search that.

  6. Select the cross icon to the far right of any results returned for the contact.

  7. Select Yes.

  8. On the confirmation message, select delete.

This deletes all data held in that survey for the contact.
