Process a request to access personal information

Export a contact's data to fulfil a subject access request.

Written by Gareth Burroughes

When a contact requests access to the personal data you hold on them, you must export their data from every area of the platform. This covers contact records, survey and form responses, and transactional email data.

Export contact data

To export contact data:

  1. Go to Audience > Contacts and find the contact you want to export.

  2. Select the email address or mobile number of the contact.

  3. Expand the CONTACT ACTIONS drop-down menu and select Export this contact.

  4. On the Exports page, wait for the export to complete, and then select Download.

  5. Send the downloaded file to your contact.

The ZIP file contains a CSV of the contact's data and all insight data as individual JSON files.

Export Surveys, pages, and forms contact data

Repeat this process for every form that has responses:

  1. Go to Analytics > Reports, expand the MORE REPORTS drop-down menu and select Pages and forms.

  2. For every form with responses, select the Form responses number.

  3. On the reporting page, select the Responses tab.

  4. Select Export to CSV.

This exports all responses from all customers.

  5. Open the CSV file, filter by the contact's name, email address, or mobile number, and copy only that contact's data into a new file.

  6. Send the new file you created to the contact.

Don't send the original CSV file to the contact. It contains form responses from all contacts.

Export transactional email contact data

  1. Go to Analytics > Dashboards, expand the MORE DASHBOARDS drop-down menu, and select Transactional email.

  2. Expand the Export drop-down menu, and select Export.

  3. On the Exports page, wait for the export to complete, then select Download.

  4. Open the CSV file, filter by the contact.

  5. Copy only that contact's data into a new file.

  6. Send the new file to the contact.

Don't send the original CSV file to the contact. It contains transactional email data from all contacts.
